How to Merge and Transfer Users

This article aims to explain the process of merging users, which have the same information and separate the users, which appear to be under the same account, being different people. Each topic will be separately explained in detail below. 

Merging users from reservation dialogue

User merge is a process when users of the same person are being merged taking into account 4 main criteria 1. First name 2. Last name 3. Email 4. Phone

  1. There are two ways the users are being merged. 1. Automatically by the System 2. Manually by users.

After reviewing the data, we need to put a tick in the "User Similarity" window for the user we want to be merged with and click the Merge button.

On the User Similarity window, you will get a notification that “Similar users were merged successfully.”

After that when you close the window, the reservation dialogue will be refreshed and you will see the other reservations under the current guest.

 

Transferring user information

Transferring a user to another guest, practically, means "unmerge" the user. We are to use this feature when we have different user information stocked under one user.  

 

We need to enter to the guest history page where we can see the guest reservations ever made.

First, let’s see options, on how to enter the Guest History page.

Next, find the user from the Admin Portal User’s Tab (https://www.hosteeva.com/manage/user) by filling guest's first name, Last name, email, phone etc. 
When the user was found in the admin portal, choose view from the actions dropdown from the right side. And you will see the same page as attached below.

For each reservation, there is an action dropdown in the right corner. 
In order to transfer the reservation to another guest we need to:

After filling in the User ID and pressing transfer you will see that the reservation disappeared from the current user and transferred to the user ID which you chose while going through the reservation transfer process.
