The main goal of this article is to give a detailed description and instructions on how to create long-term reservations.
It highlights the main aspects, which need special attention.

The article contains general instructions for creating long-term reservations, and 2 location specifications as well. 

General Information

Each location has its own tax-free period for rental companies. In New Orleans and Seattle, it is 29 nights (30 days), in Myrtle Beach it is 89 nights (90 days), and in the Gulf Coast area, it is 179 nights (180 days). If the guest extends the reservation and reaches the tax-free period, the paid taxes can either be refunded or deducted from the next extension, but only if the guest continues to extend the reservation.

Please note: If the reservation is for two months and more you need to create two (or more) separate reservations. The end of the month should be the end of each extension. For example, if the guest will be staying from 02/16 to 05/20, the reservation extension dates should look like this:
1) 02/16-02/28(29)
2) 02/28(29)-03/31

3) 03/31-04/30

4) 04/30-05/20

New Orleans

Usually, for New Orleans we create short-term reservations, however, if we have a potential guest who’s willing to stay with us longer, we need to check with the area manager both to confirm the possibility and the price. (To check the price, use the e-document mentioned in the general information above). In n case of New Orleans, if the reservation is created for 30 days exactly, the taxes will automatically be removed.

Myrtle Beach

In order to get the price for a long-term reservation in Myrtle Beach, you only need to check the Tax-free duration article and the Global rates document (Please, see above).

Below, is the detailed instruction on the action items for long-term reservation creation for the MB location.

1.  Downpayment policy -100%

The guest is to pay the full amount for the 1st month of their stay. The paid amount (100%) is non-refundable. 

 

2. Refundable Damage Deposit

The refundable damage deposit is to be $500, which will be charged 5 days prior to the check-in date. It will not be released, unless the area manager gives us the approval, after the grand check-out. 

 

3. Taxes

Taking into consideration the tax-free period timeframe for MB, the guest is to pay the first 2 months including all the taxes and fees. Once the guest is ready to pay for the 3rd month, we will deduct the taxes, he/she previously paid during 2 previous months from the rental fee for the 3rd month. Thus, we will not use the Refundable Damage Deposit to cover the taxes if the guest decides to leave earlier than required. It will be used to cover extra costs (damages, extra cleaning requirements, repairs, missing item replacement, etc) and not just compensate the basic taxes that were to be paid. Last-minute cancellations will also lower the chances of getting reservations for those dates. 

 

4. Cleaning fee

We will need to charge a monthly cleaning fee(the general cleaning fee for the specific property), in addition to the monthly rental amount. The fee should be confirmed with the local manager. 

 

5. Follow-up

Once the reservation has any updates/news, we need to post on the “MB Snowbirds” chat, to give heads up about the status alteration.
