Standard Operating Procedure (SOP): Birch Glen Lodge

1. Guest Amenities

At Birch Glen, we offer the following amenities to ensure a comfortable and enjoyable stay:

• Free Parking

• Game Room (Hours: 8 AM – 8 PM | Door Code: 5511)

  • Pool Table

  • Foosball Table

  • Air Hockey Table

  • Ice Machine

• Fire Pit – Located on the North Side of the Property

• In-Room Amenities:

  • Free WiFi (Network: Birch Glen Guests, Password: TheBirch!)

  • DirecTV

  • Microwave

  • Minifridge

  • Coffee Maker

2. Directions to Birch Glen

• Take Highway 55 to Cascade, Idaho

• Birch Glen is located on the south end of town

3. Door Keypad Instructions

• Guests receive their unique door code via text from the front desk on the day of check-in.

To Unlock the Door:

1. Press "Yale"

2. Enter code

3. Press the ✅ (checkmark button in lower left)

To Lock the Door:

• Press "Yale" or ✅

• Use the interior locking mechanism from inside the unit

🔐 If the code doesn’t work for Units 101, 103, 109, or 120:

1. Go to the Game Room

2. On top of the fridge, find the wooden triangle (billiards accessory)

3. Take the physical key for the unit

4. Return the key to the same place or leave it in the unit after checkout

4. Room Types & Descriptions

We offer 7 room types, all subject to availability:

1. Single Queen Room – Sleeps 2 adults

2. Deluxe Double Room – 1 Queen + 1 Double; Sleeps 4 adults

3. King Kitchenette Room – King bed, sleeps 2, with kitchenette:

   • Sink, 2-burner stove, mini fridge, toaster, cookware & utensils

4. Royal King Room – Sleeps 2 adults

5. Triple Room (Room 114) – 1 Double + Bunk (2 Doubles); Sleeps 6

6. Triple Room (Room 120) – 3 Double beds (one in a separate room); Sleeps 6

7. Quad Bunk Kitchenette Room – 2 Full-size bunk beds (sleeps 8) + Full kitchenette with full-size fridge & sink

5. Policies

• Check-in Time: 3:00 PM MST

• Check-out Time: 11:00 AM MST

• Pet Policy:

  • Dogs only, age 1+

  • $35 per pet, per night (max 2 dogs)

  • No pets on bedding/furniture

  • Pets may not be left unattended

• Cancellation Policy: 48-hour notice

• Quiet Hours: 10:00 PM – 8:00 AM

• Smoking Policy:

  • No smoking of any kind inside rooms or Lodge

  • $300 fine applies for any violations

TV Issues

• Ensure source/input is correct

• Check that all cables are connected securely

Game Room Access

• Open from 8 AM – 8 PM

• Use the same code provided with the room code

• If the code is not received or lost, contact the front desk

7. Work Orders

• Submit a work order immediately for any room issues

• Indicate in the description if a manager or Hosteeva is involved

• Add “Resolved” in the work order if the issue has been fixed

8. Guest Relocations

If a Room Has a Cleaning or Physical Issue:

• Relocate the guest to the same room type, same rate

• If unavailable:

  • Offer a similar room type within a $10–$15 price difference

  • Do not upcharge the guest

  • For anything above a $15 increase, contact the manager

• After resolving the issue, create a work order marked as “Resolved.”

• Gramma’s Restaurant – Classic Cascade breakfast spot

• Reo’s Pizza ToGo – Great for in-room movie nights

• Lake Cascade State Park – Beautiful year-round lake views

• Trail Creek Hot Springs – Local hike and hot springs

• Confluence River Expeditions – Guided rafting tours

• Intermountain Power Sports Rentals – Snowmobile & ATV rentals

• The Roxy Theatre – Restored 1940s movie theater

• Tamarack Resort – Skiing & snowboarding overlooking Lake Cascade

10. Backup Key Access & Lockbox Codes

• Refer to the internal system for Birch Glen Hard Codes if digital codes fail. Just a reminder that submitting codes goes ‘yale’+Code+ ✅ to open.

If the guest’s door code does not work and the unit is among:

• Room 101 – Lockbox Code: 9019

• Room 103 – Lockbox Code: 9039

• Room 109 – Lockbox Code: 9099

• Room 120 – Lockbox Code: 9209

Guests may retrieve a physical key from the lockbox inside the Game Room (Code: 5511). Return the key after use.
