This guide outlines the correct procedure for relocating a guest mid-stay, especially when moving them to a unit owned by a different owner.
Step 1: Adjust the Initial Reservation
- Shorten the original reservation so that it ends on the date the guest moves to the new unit.
Step 2: Create a New Reservation
- Book a new Hosteeva Direct reservation for the guest in the new unit.
- The new reservation should start from the relocation date and end on the original checkout date.
Step 3: Allocate the Total Amount Fairly
- Divide the guest’s total reservation cost proportionally based on the number of nights spent in each unit.
- Example: If the guest originally booked for 5 nights with a total reservation cost of $500, and they stayed 2 nights in the first unit and 3 nights in the second unit, the cost should be split as follows:
- First unit (2 nights): $200
- Second unit (3 nights): $300
Step 4: Add Reservation IDs and Comments
- The reservation ID of the second reservation must be included in the comments of the first reservation.
- Likewise, the reservation ID of the first reservation must be included in the comments of the second reservation.
- The comments should clearly state that the guest was staying in Unit 1 and will continue their stay in Unit 2.
Why This Process Matters
- Ensures owners receive fair payouts.
- Prevents confusion regarding reservation details.
- Maintains a smooth guest experience.
